WorkEx Application Process: A Step-by-Step Guide
The WorkEx system simplifies the work experience placement process for schools, ensuring a smooth workflow from application to final approval. Below is an overview of the key stages involved.
Application Stage
Students begin by filling out an Application Form, which automatically creates a new entry in the Work Experience SharePoint List. If the placement involves working with animals, the system sends a Working with Animals (WWA) form to the student for additional approvals. Otherwise, the application proceeds to the review stage.
Review Stage
Career advisors review the student’s application, updating any necessary details within SharePoint. If the information is incomplete, they work directly with the student to make corrections. Once all details are verified, the application is moved to the “Ready for Signing” column, indicating that it is prepared for the next stage. If a WWA form is required, students, parents/guardians, and career staff must sign it before the application progresses.
Agreement Stage
At this stage, a Pre-Agreement Email is sent, and the system generates the official Work Experience Agreement. The agreement is sequentially signed by:
- The Employer
- The Student
- The Parent/Guardian
- The School Principal
Each signer plays a crucial role in ensuring that the placement meets legal and educational requirements.
Post-Agreement Stage
Once all signatures are collected, the system sends Post-Agreement Emails to relevant stakeholders, confirming the finalization of the work experience agreement.
