Work Experience Applications – Board
1. Find the Student’s Record That Needs Updating
Open the Work Experience Applications board in SharePoint. The student’s application may appear in any column, depending on its current status (e.g. New, Working With Animals, Out for Signature). Browse through the board or use the search/filter functions to locate the specific record requiring a signer email correction or reassignment.
2. Open the Agreement in Adobe Sign
Within the selected SharePoint item, locate and click the “View in Sign” button or link. This will open the corresponding Adobe Sign agreement in a new browser tab. If nothing happens, check that your browser allows pop-ups from SharePoint or Adobe Sign. This link takes you directly to the live agreement view, where you can manage recipients and monitor signing progress.
3. Access the Recipient Management Tab
Once the Adobe Sign agreement loads, look for a tab or menu option related to Recipients or Actions—typically located at the bottom right of the page. Click this tab to expand recipient management options. This is where you’ll find controls to modify the signer list, including the ability to add an alternative recipient. Ensure you’re logged into Adobe Sign with appropriate permissions to modify the agreement.
4. Click on Add Alternative Recipient
Click the “Add Alternative Recipient” option in the recipient menu. A dialog box will appear asking for the new recipient’s details.
5. Add the New Signer’s Email Address
In the email field, enter the correct email address of the person who will now sign the agreement (e.g. brahims@dynappix.com.au). Double-check for typos, as this will determine where the signing invitation is sent.
6. Enter the New Signer’s Name
Still within the Add Alternative Recipient dialog, enter the full name of the new signer (e.g. Brahim Stewart). This name will appear on the agreement and in the audit log. Ensure it matches how the recipient would like to be represented in official documents, especially if it will be included on student-facing paperwork.
7. Confirm and Add the New Recipient
Once both the email address and name fields are filled in, click the “Add” button to save the changes. Adobe Sign will immediately update the agreement, revoking access from the original signer (if applicable) and assigning signing rights to the new recipient. The new signer will receive an updated email invitation to complete their portion of the agreement.
